Privacy Policy
What we collect, how we use it, and the choices you have.
This Privacy Policy describes how RealtyPass, Inc. (“RealtyPass,” “we,” “us”) collects, uses, and shares information in connection with the RealtyPass platform — our cloud-based software for real estate professionals — our websites (including realtypass.com and app.realtypass.com), agent websites we host, and related services (together, the “Service”). It applies alongside our Terms of Service and Acceptable Use Policy.
1. Information We Collect
Account and profile information
When you create an account we collect your name, email address, phone number, brokerage or company details, real estate license information, profile photo, and similar account data. If you sign in with Google, we receive your name, email address, and profile picture from your Google account.
Payment and financial information
Subscription payments are processed by Stripe, Inc. We do not store your full card number — Stripe stores it and provides us a token. If you use commission-disbursement features, we collect bank account details you provide; those fields are encrypted at rest in our systems.
Customer content
The Service stores the content our customers put into it: transaction records, uploaded documents, contacts, notes, tasks, marketing materials, and messages sent through the platform. Documents you upload may be processed automatically (for example, text extraction and AI-assisted analysis) to provide platform features.
Information about our customers’ clients and leads
Real estate professionals use the Service to manage their own clients and leads. When a consumer submits a form on an agent’s website (for example, a home-valuation or CMA request), or an agent enters a client’s details, we process that information on the professional’s behalf as a service provider. The professional — not RealtyPass — decides how that information is used. Consumers with questions about how their information is handled should contact the real estate professional they worked with; we will also assist directly at the contact address below.
Electronic signature records
When documents are signed electronically through the Service, we collect and retain an audit trail for each signer: name, email address, IP address, timestamps, and verification events (such as one-time-passcode confirmation). This audit trail is a required part of the signed record.
Usage data and cookies
We collect log and device data (IP address, browser type, pages viewed, actions taken) and use cookies and similar technologies, including Google Analytics, to operate, secure, and improve the Service. You can control cookies through your browser settings; the Service may not function fully without essential cookies.
2. How We Use Information
- Provide the Service — operate accounts, transactions, documents, websites, messaging, and support.
- Billing — process subscriptions, metered usage, and add-ons through Stripe; send invoices and billing notices.
- AI features — deliver features such as document data extraction, suggested replies, listing descriptions, and virtual staging. Content processed for these features may be sent to third-party AI providers (such as OpenAI) solely to provide the feature; we do not permit it to be used to train their models.
- Communications — send transactional emails and, where you direct it, deliver the emails and text messages you compose to your contacts.
- Security and integrity — detect abuse, enforce our Acceptable Use Policy, and protect the Service.
- Improvement and analytics — understand how the Service is used so we can improve it.
- Legal — comply with law and enforce our agreements.
3. Google User Data
If you sign in with Google, our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We use Google account information only to authenticate you and populate your RealtyPass profile; we do not sell it, use it for advertising, or allow humans to read it except with your consent, for security purposes, or as required by law.
4. How We Share Information
We do not sell personal information. We share it only with:
- Service providers that help us run the platform — including Amazon Web Services (hosting), Stripe (payments), SendGrid (email delivery), Twilio (text messaging), OpenAI (AI processing), and Google (authentication and analytics) — each bound to use it only to provide services to us.
- Multiple listing services (MLSs) and data licensors, to the extent required to provide and account for listing-data features.
- Other users you direct us to share with — for example, collaborators on a transaction, signing parties on a document, referral recipients in the referral network, or transaction coordinators you engage.
- Legal and safety — when required by law, subpoena, or to protect rights, safety, and the integrity of the Service.
- Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this policy.
5. Retention
We retain account information for as long as your account is active. After termination or expiration of a customer agreement, we may retain customer data for up to five years as described in the Terms of Service, after which it is deleted or anonymized. Electronic-signature audit trails are retained as part of the signed record. We may retain aggregated, de-identified data without limitation.
6. Your Rights and Choices
Depending on where you live (including under the California Consumer Privacy Act and Washington law), you may have the right to access, correct, delete, or receive a copy of your personal information, and to opt out of certain processing. To exercise these rights, email support@realtypass.com. We will verify your request and respond within the time required by law. We do not discriminate against you for exercising your rights. If a request concerns information we process on behalf of a real estate professional, we may refer the request to that professional and assist them in responding.
You may opt out of marketing emails using the unsubscribe link in any message. Transactional and account emails are sent as part of the Service.
7. Security
We use administrative, technical, and physical safeguards appropriate to the nature of the information, including encryption in transit, encryption at rest for sensitive financial fields, and access controls. No method of transmission or storage is completely secure; please use strong, unique passwords and notify us immediately of any suspected unauthorized access.
8. Children
The Service is for business use by real estate professionals and is not directed to children under 16. We do not knowingly collect personal information from children.
9. Changes to This Policy
We may update this Privacy Policy from time to time by posting a new version on this page. The new version becomes effective on the date it is posted. Material changes will be highlighted in the Service or by email.
